1. Introduction

HZad Talk (“we”, “our”, or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our app and related services (“Services”). We comply with all applicable privacy regulations, including the General Data Protection Regulation (GDPR), the UK Data Protection Act, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and other relevant global privacy standards.

2. Information We Collect

We collect the following categories of information when you use HZad Talk:

- Personal identification data: name, email address, and contact details.
- Profile information: profile picture, interests, languages, availability, timezone and brief profile descriptions.
- Call audio (only with your consent): at the start of each call you are asked whether your own microphone may be recorded for AI feedback. Only your voice is recorded, never your video and never the other person's microphone. The recording is sent to our AI provider (OpenAI) to be transcribed and analysed, and is not stored by HZad Talk. The written feedback and scores are saved to your feedback history.
- Call and activity data: who you called or booked with, when, and whether you are currently online, idle or offline.
Device and usage information: technical data such as IP address, browser type, and app activity for analytics and security.

3. Purpose of Data Collection

We process your personal data for the following purposes:

- To operate and improve the app’s communication and AI feedback features.
- To analyze your conversations and provide insights on pronunciation, grammar, and fluency.
- To personalize user experience and optimize system performance.
- To ensure compliance with legal and regulatory obligations.

4. Consent and User Rights

Recording is optional and asked for on every call; if you decline, the call continues without AI feedback. You can withdraw consent at any time by declining on future calls. Under GDPR and similar frameworks, you have the right to access, correct, delete, and restrict processing of your personal data. You may also request data portability or lodge a complaint with your local data protection authority.

5. Data Storage and Security

Your account data, profile, bookings and feedback history are stored with our database provider (Supabase) on encrypted servers. Call audio is not stored by HZad Talk. We implement industry-standard measures such as SSL encryption, access controls, and regular audits to ensure your data’s protection against unauthorized access or misuse. Data is stored for as long as necessary to fulfill the stated purposes or as required by law.

6. Data Sharing and Transfers

Your personal data is not sold or shared with third parties for marketing purposes. However, we share limited data with the service providers that run the app: Supabase (database, accounts and file storage), OpenAI (transcription and AI feedback on your call audio), Resend (email delivery for the contact form), Google reCAPTCHA (bot protection) and our hosting provider. If your data is transferred outside of your country (including the EU or UK), we ensure such transfers comply with international data protection laws and use safeguards such as Standard Contractual Clauses.

7. Children’s Privacy

HZad Talk is not directed at individuals under the age of 16. We do not knowingly collect or store data from minors. If we become aware that we have inadvertently collected such data, we will delete it immediately.

8. Retention Policy

We retain your personal information and recordings only for as long as necessary to provide our services or meet legal requirements. You can permanently delete your account and its data at any time from Settings → Delete Account, or ask us to do it by contacting info@hzadeducation.com.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in law or our business operations. Updates will be posted in the app and on our website with the revised effective date.
